Assessments are Handled in DivData

Here is a link to the DivData flow chart for an assessment review.

Here's a helpful link with details about starting the review in DivData.

Assessment Timing

The division will send a reminder to departments to start assessments ~ the beginning of May. Assessments must be completed prior to recommending reappointment and should, in most cases, be completed concurrently with all eligible pre-6 lecturers in the department. Assessments should be completed within a reasonable period of time.

Assessments must be completed for:

1. All eligible pre-6 lecturers who submit a completed statement of interest in reappointment form by the deadline, following their initial one-year appointment. Deadlines vary* (see below). An assessment must be conducted regardless of whether the department intends to propose reappointment. A positive assessment does not require reappointment of the pre-6 lecturer. Pre-6 lecturers who submit a completed statement of interest by the deadline shall be considered internal candidates and must be considered for reappointment prior to any external candidates.

2. A pre-6 lecturer who did not submit a completed statement of interest in reappointment form by the deadline (or at all) if the department wants to propose reappointment for them, following their initial one-year appointment. The assessment must be positive in order for reappointment to occur.

*Note: An assessment is only conducted once per pre-6 lecturer in a given department, at the end of their initial one-year appointment in that department. If a pre-6 lecturer has appointments in multiple departments, they will go through an assessment once in each department they're appointed in.

Statement of Interest in Reappointment Form Submission Deadlines

Click here for the link to CAPM's chart of deadlines*

*If the pre-6 lecturer received their appointment letter later than the deadline dictated by the Unit 18 bargaining contract, the deadline is 30 days from the date which the initial appointment letter was sent to the lecturer. For example, a lecturer is appointed to teach in Fall 2023, but does not receive their appointment letter until September 22. They have until the deadline of October 22, which is 30 days later (instead of October 15 as indicated in the chart) to submit their statement of interest. If you’re not sure of a particular lecturer’s deadline to submit their statement of interest, check their initial appointment letter. The exact deadline is included in the letter.

Assessment Criteria

Teaching ability as well as performance of other assigned duties is assessed based on a competency standard with demonstrated evidence of:

a) Competence in the field,

b) Teaching ability,

c) Academic responsibility consistent with Article 3 of the Contract,

d) Competence in other assigned duties that may include University co-curricular and community service, if assigned.

If a pre-6 lecturer is found not competent in one or more assessed criteria, they are not considered to meet the competence standard.

Assessment Procedure

If a pre-6 lecturer has formally expressed interest in reappointment by the deadline, or the department is proposing an initial reappointment of a pre-6 lecturer who has never been assessed (per this section), the department must complete an assessment in DivData.

The department chair or designee reviews the following materials for the assessment:

1. Statement of Interest form and associated materials submitted by the pre-6 lecturer

2. Any available SETs from the most recent appointment period, and

3. Any other relevant materials available to the chair.

The department chair or designee completes the assessment based on the competence standard and criteria listed above and provides written feedback to the pre-6 lecturer. Departments should be consistent in the way they provide written feedback to their lecturers. Here is the assessment form that departments may use.

Pay Increase Upon Reappointment After Assessment

Upon reappointment after assessment, the pre-6 lecturer will receive a one-salary point pay increase (3%). (Subject to Section XII.B of CAPM)
