EVENTS, MARKETING, & ADMINISTRATIVE ASSISTANT (EMA)
EMA DUTIES: MARKETING & LAYOUT (approx. 50% of duties)
- Edit and publish event listings
- Communicate with campus entities
- Execute internal campus mailings and posting
- Design and post flyers; layout event programs using a template in InDesign
- Generate and post event signage and COVID-19 signage
- Other communications-related tasks as assigned
EMA DUTIES: EVENTS ASSISTANCE (approx. 25% of duties)
- Provide support for the front-of-house management of in-person events presented by the Arts Division; most of this work will be done in-person on site at UCSC’s main residential campus.
- Duties vary and may include the following: Unlock/lock facilities, greet guests, scan tickets, monitor admission, usher guests to seats, admit late arrivals, interface with Transportation & Parking Services, answer questions, attend to audience safety and COVID-19 protocols.
- Potential support of virtual events or off-campus / special events.
- Other event duties as assigned
EMA DUTIES: ADMINISTRATIVE ASSISTANCE (approx. 25% of duties)
- Work with supervisors to manage event notifications/submissions received by the Arts Division
- Web updates
- Data entry via Filemaker or other database
- Other administrative tasks as assigned
EMA SKILLS, KNOWLEDGE, & ABILITIES

- Experience using Adobe Photoshop for basic image modification (i.e., cropping and re-sizing images)
- Experience using Adobe InDesign software for page layout
- Demonstrated page layout and composition skills (work samples / portfolio requested)
- Ability to create professional, clean, accurate layouts
- Excellent writing skills (writing sample required)
- Attention to detail
- Ability to work within strict timelines
- Motivated to problem-solve and work independently.
- Ability to learn and perform data entry via Google Sheets, Google Docs, Google Calendar, Drupal website, Localist web calendar, and possibly Filemaker TBD.
- Ability to learn and operate web-based ticketing software and electronic ticket scanners.
- Interest in the Arts and live performance / presentation.
- Additional preferred skills, knowledge, and abilities including the following:
- Copy-editing, proof-reading, and experience working on publications
- Familiarity with Google Suite applications, including: Drive, Docs, Sheets, Forms, and Calendar
- Basic Filemaker experience (i.e., data entry, search and layouts)
- Experience with customer service and working with the public
- Confidence to work with a diverse population including students, staff, faculty, and community members
- Paid or volunteer experience working at or managing events
- Certification in CPR, first aid, and crowd management
